Job Description:

The Lawrence Hall of Science (LHS) at the University of California, Berkeley is a public science center and research institution dedicated to improving preschool-12th grade science and mathematics education. The Hall’s programs include hands-on museum exhibits, school assemblies, and the professional development of curriculum materials used by teachers across the globe.

This position will serve as a member of the administrative team (C4) that will provide essential administrative, program support, and fiscal management to four LHS centers in order to accomplish the Center’s goals and achieve the LHS mission of delivering educational opportunities and professional development to the schools, communities and general public. The four centers this position will be supporting are: The Center for Mathematics, Excellence and Equity (CEMEE), The Center for Research, Evaluation, and Assessment (REA), The Center for Leadership in Science Teaching (LST) and the Center for Technology Innovation (CTI).


Responsibilities:

40% Accounting
Process and prepare Purchase Orders, Entertainment Requests, Travel Reimbursements, Stipends and Honorariums using UC financial systems. Prepare, submit and track invoice payments using UC invoicing system and/or LHS internal invoicing system.
Review and audit all financial transactions prior to processing ensuring appropriate approval and backup documentation is submitted. Reconcile financial transactions and payroll to BAIRS GL reports and Payroll reports in accordance and adherence to U.C., federal and state audit and financial policies (SAS112, OMB A21 and OMB circular A-110). Make necessary adjustments to the GL ensuring integrity of data.

35% Workshop and Conference Support
Responsible for workshop and conference logistics: Travel arrangements, scheduling meeting rooms, prepare brochures, manuscripts and correspondence, coordinate kit preparation, support recruitment of teachers and participants, coordinate catering and equipment. Prepare necessary contracts for events and submit them to LHS Contract Officer for approval.

15% General Support
Maintain master calendar, monthly calendar and electronic bulletin board. Create and distribute event materials, informational sheets, flyers and brochures. Maintain participant and teachers database, collect and analyze required data, organize and display data graphically for report generation. Develop clip art, create tables and bar graphs. Ensure web pages are up to date. Support Center in academic and staff recruitment and hiring. Represent unit on ad hoc and LHS committees as appropriate.

5% Student Supervision
Supervise student assistants; assign and prioritize tasks to meet deadlines and workloads, develop performance standards, recruit and hire, train, prepare schedules, complete monthly timesheets.

5% Additional tasks as assigned
Requirements & Qualifications:

Required: Working knowledge of Financial Systems, Technological literacy including Word, Excel, Database, graphic design software, accounting, experience providing administrative support, calendaring and scheduling. Excellent customer service, written, and communications skills. Ability to maintain confidentiality, exercise objectivity, discretion and tact. Strong organizational and critical thinking skills. Ability to manage competing deadlines and attention to high level of detail and accuracy. Self-starter with ability to work independently with a minimal amount of supervision.

Preferred:

Knowledge of UCB financial and reporting systems; BFS, BAIRS, CARS. University, state and federal policies and procedures and audit policies. Contract and Grant administration, Human Resources, purchasing, and fund accounting. Working knowledge of correlation between payroll, general ledgers, and budgets.

Salary:
$39,060.00 - $43,824.00 Annually (depending on experience)
